Member App Flow
The Member App is the primary touchpoint for all individuals utilizing the workspace—whether they are registered clients, on-demand guests, or visitors. The application is designed to handle the entire lifecycle of a user, from initial onboarding and day pass purchases to daily desk reservations and community engagement.
1. Onboarding & Authentication
The platform uses a seamless OTP-based login system that automatically provisions accounts and captures lead intent dynamically.
Step-by-Step Flow:
- Initial Authentication: User enters their mobile number. The system verifies if the user already exists. If new, it initiates the registration process via a 6-digit SMS OTP.
- Profile Completion: Upon successful OTP verification, new users are prompted for basic details (Name, Email, Company, City) which creates a "Lead" record in the CRM (
status: new). - Intent Capture: The user selects their primary requirement:
- On-Demand: Triggers immediate creation of an
ondemanduserrole, granting access to purchase day passes and book ad-hoc spaces. - Private Office / Virtual Office: Prompts for deeper requirements (Industry, Employees, Timeline, Budget) to equip the sales team for a personalized tour or contract negotiation.

2. Day Pass & Bundle Bookings
Designed for flexibility, the platform allows ondemandusers to purchase access to coworking facilities instantly.
Step-by-Step Flow:
- Building Selection: The user browses available locations and their specific "Open Space Pricing".
- Pass Configuration:
- Single Pass: The user selects a date and checks availability.
- Bundles: To access volume discounts (e.g., "5 Day Passes at 10% off"), the user can split passes between themselves and external guests across multiple dates.
- Checkout & Invoicing: The app automatically generates a Draft Invoice and initializes the Razorpay payment gateway.
- Fulfillment: Upon successful payment, the passes are activated, and QR codes for building access (Matrix integration) are provisioned for the selected dates.
3. Member Portal "Today" Dashboard
For active members (those with private cabins or dedicated desks), the app transforms into a daily operational dashboard.
Key Features:
- Profile Context: Clearly displays the user's allocated building, active contract details, and specific cabin assignment (e.g., "Cabin 1019").
- Booking Ledger: A centralized view of all active room reservations for the day.
- Community Events: Highlights upcoming activities (e.g., "Networking Hour", "Diwali Meetup") encouraging community engagement and RSVP tracking.
4. Meeting Room Reservations
Members and On-Demand users can seamless reserve shared infrastructure on a pay-per-use or credit deduction basis.
Step-by-Step Flow:
- Discovery: Users query available rooms by date and time constraints, filtering by amenities (Whiteboards, Projectors, Coffee service).
- Slot Selection: The system cross-references active reservations (
reservedSlots) and blackout dates to present only available 60-minute blocks. - Guest Invitation: During booking, the host can add external guests. The system will automatically email building access QR codes to these visitors.
- Checkout: The booking is finalized either via the Razorpay gateway or by automatically deducting from the company's allotted monthly "Credit Value".
5. Facility Support & Ticketing
The Member App decentralizes facility management by empowering users to report issues directly from their phones.
Step-by-Step Flow:
- Categorization: The user selects precise issue categories matching internal service SLAs (e.g., "Cleaning -> Washroom").
- Filing: The user submits a description, priority level, and an active photo attachment (e.g., a broken chair or unclean desk).
- Resolution Tracking: The ticket moves through states (
open,assigned,resolved) as ground staff pick them up, triggering push notifications back to the user upon status changes.
6. Notifications Hub
A unified inbox ensuring members never miss critical updates, operating universally across Push, Email, and SMS channels.
Categories Monitored:
- Billing: Due dates, invoice generations, and payment confirmations.
- Support: Ticket creation, staff assignments, and resolutions.
